Calls — call tracking and missed-call text-back

Who it's for

The owner or manager sets up the number and the text-back message. Anyone who works the Lead Inbox (marketing access) lives in the call log: every call to the shop's tracking number lands there, matched to the customer or lead who dialed, with one-tap call-back and text links.

Where it fits

Most wrap jobs still start with a phone call — and an unanswered call is a lead walking to the next shop on the list. Call tracking closes that hole: calls forward to your real line as always, but every one is logged next to your leads, and a missed call gets an automatic text within seconds so the caller knows you saw them. Overview

  • A tracking number — a dedicated phone number Wraptor sets up for you (email support@wraptor.io to get yours). Put it on your website, Google Business profile, and ads. Calls to it forward straight to your existing shop line; callers notice nothing.
  • The call log — every call with status (Answered / Missed), duration, time, and who called. Callers are matched by phone number against your customers first, then your leads — a repeat customer shows up by name, linked to their profile.
  • Missed-call text-back — nobody picks up → the caller gets a text from the shop right away ("sorry we missed your call — reply here and we'll text you right back"). One text per caller per day, no matter how many times they retry. Callers with withheld numbers are skipped automatically.

Screens & navigation

Leads → Calls tab (/leads?tab=calls)

The log: caller (name link when matched, number otherwise), status chip (Answered / Missed / Missed · texted), duration, time, and Call / Text buttons that open your phone app. Before a number is provisioned the tab explains the feature and links to support.

Settings → Communications → Phone & Calls (/settings?section=calls)

  • Tracking number — the number callers dial (filled in when Wraptor provisions it).
  • Forward calls to — your real shop line.
  • Missed-call text-back — on/off, plus the message template. {shop} becomes your shop name; the live preview shows exactly what callers get.

Rules worth knowing

  • The text-back goes out immediately, even during your quiet hours — the caller just phoned you, so an instant reply is expected; a next-morning text would read as spam. (Quiet hours still govern all automated marketing/status texts.)
  • Text-backs use the same SMS pipeline as the rest of Wraptor and are logged in the notification log, including failures — nothing fails silently.
  • One text-back per caller per 24 hours, across all their calls.
  • Calls to a tracking number no shop owns are rejected, never logged.
  • API users: call.completed and call.missed webhook events fire per call (see api-webhooks.md).

What it deliberately doesn't do (yet)

Call recording and transcription, IVR menus/routing, voicemail boxes, and self-serve number purchase. The tracking number is concierge-provisioned in this version — ask and we set it up.
